How to switch your PMS

Here are the steps that you need to complete to ensure a smooth transition for your guests:

Step 1: Pre-transition

Here's a couple of items that we need to make sure you cover before the transition:

  1. Back up all your listing-specific data, such as automessages, check-in/out instructions, guidebooks, Local guides, Upsells, etc.

    1. You can do this by copy-pasting the content to an external application such as Google Docs, Microsoft Word or something similar. (This step is not necessary. As long as you move the new listings to the existing listing groups before removing the old PMS account, everything will be okay).

  2. Create a CRM message to inform your confirmed bookings about the transition. Here's a sample setup:

Hi <guest_first_name>,

On Friday, May 31, 2024, we'll be transitioning to a new system. You’ll receive a new email with a link to your updated Boarding Pass.

If you've already completed verification, you won't need to do it again. However, you need to enter your details in the new link so we can associate it with your previous verification. Otherwise, please use the new link to complete verification and access check-in instructions.

Note:

We recommend planning your date of switch to a non-peak reservation day to minimize the number of guests that could possibly be affected.

Step 2: During Transition

Once the new PMS account is connected, your listings with your new PMS will start syncing into Enso. This usually takes between 20 an30 minutes to complete.

Note:

Expect that there will be duplicates for each listing (one from your previous PMS, and one from your newly connected PMS).

To identify which listing is which, the listing URL will be your reference, as shown below.

Step 3: Post-transition

  1. Add the new listings to their corresponding listing group. You should see 2 listings for each property in the listing groups.

  2. Add the listing-specific check-in/out instructions, upsells, guidebooks and other details by using the copy from existing feature.

  3. Confirm that guests are now syncing from your new PMS. You'll be able to tell by looking at URL while you are in the messaging section.

  4. Skip the verification steps for guests who have already completed their verification.

Step 4: Final Steps

  1. Review that all listings from your new PMS have pulled into Enso and are added to the correct Listing Group.

  2. Validate that all automessages for the listing group are still intact. Make edits as needed.

  3. Turn off your previous PMS listings, and turn on your new PMS listings.

  4. Remove the previous PMS from your account as shown below:

  5. Send us an email to [email protected] or use the help centre to message our team before your next billing cycle to let us know when your transition happened. This way, we can make the adjustments on your invoice (in case of potential double billing).
